1.Our commitment

The Pep Club is committed to making the patient platform accessible to the widest possible audience, including patients with visual, auditory, motor, and cognitive disabilities. Healthcare technology carries an especially high accessibility duty because the consequences of a patient being unable to read their lab results, message their physician, or refuse consent are real and clinical, not just inconvenient.

This commitment is operationalized through ongoing design, engineering, and content practices, and is backstopped by a feedback channel where any patient or visitor can report a barrier and request remediation.

2.Conformance target

The Pep Club targets conformance with the Web Content Accessibility Guidelines 2.1, Level AA across the marketing site and the patient portal. WCAG 2.1 Level AA is the conformance level referenced by the U.S. Department of Health and Human Services for healthcare websites and is the standard most often cited under ADA Title III in healthcare-platform settlements.

We treat conformance as ongoing rather than a fixed milestone. Each new feature is reviewed for accessibility impact during design and before ship; regressions are treated as defects, not preferences.

3.Features in place

The following accessibility features are in place across the patient platform today:

  • Keyboard navigation: all interactive surfaces, including the eligibility wizard, medical intake, results viewer, messaging, and account settings, are reachable and operable using only the keyboard. Focus order matches visual order; focus indicators are visible.
  • Screen-reader support: semantic landmark roles (header, nav, main, footer), accurate heading hierarchy, labeled form fields, named buttons, and ARIA attributes on dynamic regions are applied throughout. We test the critical patient-care flows with screen-reader software during development.
  • Color contrast: the design system uses contrast-aware semantic color tokens. Text and interactive elements meet the WCAG 2.1 contrast requirements at the AA threshold against background tokens across both supported themes.
  • Text and zoom: page text scales to two hundred percent (200%) without loss of content or functionality. Long-form legal documents render in a printable layout that scales further on the user agent.
  • Alt text on imagery: content-bearing images carry descriptive alternative text; decorative imagery is marked aria-hidden so screen readers do not announce it.
  • Reduced motion: animations in the marketing surface and patient portal honor the user agent's `prefers-reduced-motion` signal and degrade to non-animated equivalents.
  • Forms and errors: form errors are announced to assistive technology, are associated with the field that produced them, and include text descriptions in addition to color cues.

4.Known limitations

The Pep Club is aware of the following limitations:

  • Telehealth video sessions delivered through the patient portal depend on the video-platform vendor's own accessibility features. We have selected a video vendor whose platform meets WCAG 2.1 AA, but real-time captioning quality depends on the spoken audio. Patients who require certified live captioning for a telehealth visit can request the accommodation per the section below.
  • Third-party PDF documents that originate outside the platform (for example, lab requisitions or external prescriber notes attached to a patient record) may not match WCAG 2.1 AA. Where this matters for a patient interaction, an accessible text equivalent can be requested from patient support.
  • Some advanced data-visualization views in the patient portal (biomarker trend charts) carry a text-table fallback for assistive technology, but the visual presentation is the primary surface. Improving the parity is on our roadmap.

Where a limitation prevents you from completing a patient-care activity, the accommodation path described below is the route to a remedy, including by-phone or by-email alternatives where the on-site interface cannot be made workable in time.

5.Requesting an accommodation or reporting a barrier

If you encounter a barrier using The Pep Club, or if you need an accommodation to complete an interaction with us, contact us at hello@thepepclub.com. Include:

  • A description of the barrier or the accommodation you need;
  • The page or screen where it appears (a URL is ideal); and
  • The assistive technology or browser configuration you are using, if relevant.

We respond to accessibility reports within five (5) business days. If the barrier blocks a clinical interaction (for example, you cannot read your lab results or you cannot message your physician), call out the clinical impact and we will prioritize a workaround. Telehealth visits that require a real-time accommodation (certified live captioning, sign-language interpretation) should be requested at the time of booking so the accommodation can be coordinated with the physician before the visit.

6.Third-party content

The Pep Club integrates services from third-party vendors (identity provider, payment processor, video platform, email and SMS delivery, error monitoring). We hold those vendors to WCAG 2.1 AA as part of vendor selection and we monitor accessibility regressions surfaced in patient feedback. We are responsible for the experience on our platform; we cannot guarantee the accessibility of external sites linked from our platform.

7.Changes to this statement

We may update this Accessibility statement from time to time as features, vendors, and remediation plans evolve. The Last reviewed date below reflects the most recent update. Material changes to the conformance target, the accommodation pathway, or the response SLA will be noted in the change history maintained by the Privacy Officer.
